The Atholl Centre – Residential Groups
Booking Terms and Conditions
The Atholl Centre is committed to serving guests' needs to make their stay as enjoyable, comfortable and rewarding as possible. For your information we have listed below the terms and conditions within which the Centre operates, and also various other practicalities. We hope you find this helpful.
BOOKINGS
1. On enquiry a booking form will be sent to the group leader. The booking form should be completed and returned as soon as possible with the appropriate deposit (see below) to secure the booking. In order to ensure sole occupancy a minimum number of 24 guests is normally required.
OUTSIDE ACCOMMODATION
2. The centre has 12 bedrooms and can accommodate up to 32 guests in shared accommodation.
3. Groups are welcome to bring more guests than the Centre can accommodate, in which case the Centre will be happy to provide a list of local guest houses for outside accommodation. The group will be responsible for arranging any such accommodation themselves and paying the provider directly. Guests staying in outside accommodation will have their meals at the centre and will be charged accordingly.
CATERING
4. To assist with catering arrangements the group leader should inform the Management at the earliest possible opportunity of any changes to the participants, whether residential or non-residential.
5. Every effort should be made by the group leader to state on the booking form any special dietary requirements and it should be noted that if these are not known at this stage, it is essential that the management receives this information at least two weeks prior to the event.
6. Whilst we can offer a degree of flexibility regarding meal times to assist with the overall programme of the group, these will generally be as follows unless there is prior agreement with the Management.
Breakfast: 8:30 am Lunch: 1:00 pm Dinner: 6:00 pm
Packed lunches can be provided by prior arrangement
FINANCES
7. A non returnable deposit of 50% of the total fee is payable to secure any booking. No booking will be confirmed until this is received. The full balance outstanding must be paid on arrival.
8. The centre is designed on the basis of people sharing accommodation and has only one single room. A single person supplement of £12.00 per night is payable by all people who do not share rooms.
CANCELLATIONS
9. In the event of cancellations the full deposit will be forfeited.
OTHER PRACTICALITIES
10. Group leaders will be responsible for having an accurate, up to date list of attendees in case of fire evacuation procedures being activated.
11. Disabled guests should be accompanied by an appropriate carer, and their needs discussed with the Centre prior to arrival as some bedrooms are more suitable than others.
12. All residential guests are asked to report to Reception on arrival, where room keys will be issued by a member of staff. This is to ensure that fire regulations are complied with.
13. Bedrooms will be available from 4:00 pm on the day of arrival and must be vacated by 10:00 am on the day of departure. If any one would prefer to arrive before 4:00 pm please check in advance if this would be convenient as the outgoing party may still be using the public rooms.
14. To assist with housekeeping, guests are requested to strip their beds on the morning of departure and place linen on the end of the bed.
15. Please ensure that all lights in the public rooms are turned off after use.
16. A reasonable silence is requested after 10:30 pm and before 8:00 am. Please do not use the patio are after 10:00 pm or before 9:00 am. Please remember that we have neighbours.
17. The Management will check the building at 10:00 pm. After this time a nominated member of the group will be responsible for checking that external doors are locked and lights turned off. In emergency a member of staff will be available on call overnight.
18. Neither smoking nor consumption of alcohol is permitted on the premises.
19. As we share the car park with the Church it would be helpful if vehicles are moved on Sundays between 10:00 am and 8:00 pm. There is a large public car park approximately 50 yards further away.
20. Guests are liable for any damage to the buildings, fabric and furnishings or fittings.
21. Guests/groups are advised to provide their own insurance against any event which may cause them to cancel their booking in advance or leave during their stay.
RESOURCES/EQUIPMENT/LINEN PROVIDED BY THE CENTRE
22. Towels are provided by the Centre and are changed on a regular basis. Bed linen is provided.
23. A PowerPoint projector, an overhead projector and screen, flipchart, and DVD / Video / CD or Audio tape players are available for use by groups.
24. Tea and coffee are provided in most rooms or are available close by. There is no charge made for this but donations are welcome.
25. A photocopier is available for guests' use, for which an appropriate charge is made, and WiFi facilities are available. Guests are requested to provide their own computing equipment.
26. A wheelchair is available for guests' use and motorised scooters are available in the town. The Management will attempt to arrange other equipment if it is required. Please give as much advance notice as possible.
27. The TV Lounge is not available between 10:30 am and 12:30 pm on Sundays.
28. The Church premises may be available for use by prior arrangement.
